Q: Why don’t we include a budget in Institutional Proposal?
A: This is really a business decision. While we may version some things in the Institutional Proposal, most of the time we don’t alter a budget until we get notified that an agency intends to make an award. (This typically goes something like, “we will approve this for funding, but the budget needs to be decreased to X dollars.”) When that happens, we’ll set up the Award and do the re-budgeting directly in the Awards module. Adding this functionality to the Institutional Proposal module would be a high cost without much benefit.

To get an institutional proposal budget into a KC Award: |
1. |
Create an Award and link it to the Institutional Proposal. |
2. |
Finalize the Award or the Time & Money document. If you haven’t defined the obligated dates and funds, you’ll get an error when you attempt to create the Award Budget. |
3. |
Create an Award (complete the Name field and execute the New action) and open the version just created. When the system creates the version, you’ll notice that there is a search icon in the actions window. |
4. |
Execute the search. The budget periods from your proposal budget appear – this is the linking that happens through the Institutional Proposal – so it is therefore important that you don’t forget to link the Award to the Institutional Proposal in Step 1. |
5. |
Bring in all the budget periods, or just the first budget period. Bringing in the first budget period is helpful if you have to do a rebudgeting exercise. |
End of activity. |
