"Routing Form " — What is it and why is it important?
To ensure that federal and state guidelines are met and that the intellectual and academic objectives of the University are maintained, all proposals for external funding must be reviewed at appropriate administrative levels prior to submission. The routing form informs the University that a proposal is to be submitted and that all regulatory assurances and approvals are met or pending for each research project.

What documents require routing?
Important Notice 05-3 provides guidance for determining if your request requires a routing form. If you still have questions, contact the SRS office and ask for a grants specialist to assist you with your questions.

Who completes the routing form?
The project director is responsible for completing the route sheet. After the route sheet is complete, the project director signs it and then obtains the approval(s) of the department chair/dean. Then the route sheet is sent to Sponsored Research Services (SRS) along with all relevant documents. Remember that most offices that sign off on a proposal require a copy of the proposal. SRS requires two copies.

What if there is a collaborator from another department or campus working on the project?
Each department/dean and sponsored programs office must sign off if there is involvement on a project.

What if there is cost share from another department?
All cost share should be indicated on the routing form with sign offs by the department/dean for that commitment.

Where can I get a routing form?
The routing form is available from the Forms and Samples page of this web site.

Is there an electronic version of the routing form?
Indiana University is implementing an electronic proposal routing process. The name of that project is Electronic Research Administration (ERA). Check with your department to see if you can use the ERA application instead of the paper route sheet to submit your proposal.
